Expiry of Documents
File or Document expiry is configured at the Settings → Configuration → File Expiry
Here, you can select a default expiry duration:
3 months
6 months
12 months
Once selected, this expiry rule applies automatically to all newly uploaded documents.

How Document Expiry Works?
Each document gets an expiry date based on:
The selected expiry duration
The document’s last reviewed date
When a document expires:
It cannot be AI-enabled
AI will not use it for answer generation or evidence attachment
This prevents outdated or stale information from being used in questionnaires.
What to Do When a Document Expires?
When a document expires, you have two options:
Option1 : Replace the Document
Delete the expired document
Upload a new, updated version
Option 1 is best practice when the content itself has changed.
Option 2 : Reset the Date (Review)
Update the review date to the current date from option under Action menu
The document becomes active again and can be AI-enabled
Option 2 is best practice when the content is still valid
Why Expiry Feature Exists?
The expiry mechanism to ensure Sanity & Compliance
No old or stale documents are used
AI responses remain accurate and compliant
Teams are encouraged to periodically review policies and evidence
Better audit hygiene and governance
This is a deliberate design choice to maintain trust, accuracy, and control in AI-driven responses.
